How do you compare property-management software fairly?

Start with a requirements list grounded in your operation: property count, booking channels, payment workflow, cleaning coordination, owner reporting and staff access. Mark each requirement essential, useful or unnecessary. A long feature list is not evidence that a product fits your workflow. This is a comparison method, not a HostStack software review, ranking or claim of hands-on testing.
Check integrations at the level you need. Ask which channels and functions are actually supported for your account and property type, how updates move between systems and what happens when a connection fails. An integration logo does not prove that rates, restrictions, messages and payments all synchronise. Confirm material promises in current documentation or in writing.
Compare pricing bases consistently: per property, per booking, percentage charges, minimum fees, optional modules, setup and support. Work out a total using your own realistic booking assumptions; do not compare one supplier's basic plan with another's fully configured price. Include the time required to migrate and train people.
Use the same demo scenarios for each shortlist: amend a booking, organise a clean, restrict staff access, export records and recover from a failed update. Ask about support hours, response expectations, cancellation and access to your data after leaving. Use non-sensitive sample information.
Record evidence and uncertainties rather than awarding unsupported scores. If someone recommending a supplier receives commission or another benefit, that relationship should be disclosed; referral enthusiasm is not independent testing. Choose against your priorities and revisit the decision as the business changes, without assuming any tool guarantees better occupancy or profit.
Which demo question revealed an important limitation or useful capability for you? Please distinguish features you personally verified from marketing claims, and disclose any affiliation.
