How do you choose between a card-hold damage deposit and a damage waiver?

A card hold and a damage waiver are different arrangements. A card pre-authorisation reserves an amount against a card without necessarily taking a completed payment. A refundable deposit taken as a payment is different again. A damage waiver normally involves a fee and defined terms about specified damage; it is not necessarily insurance or blanket cover.

Start by checking which arrangements your booking channel permits and what your payment provider actually supports. Do not move a payment off-platform to get around channel rules. For direct bookings, explain the chosen arrangement before the guest commits and ensure the booking terms and payment process say the same thing.

For a hold, ask about the amount, when it is placed, expiry, any permitted extension, capture conditions and release process. Release timing is provider-specific, and the guest's bank may take additional time to show available funds. Do not promise an instant release or assume a hold will last throughout a long stay.

For a waiver, read the inclusions, exclusions, limits, excess if any, claim process and who bears costs outside the arrangement. Establish whether the product is insurance, a contractual waiver or another service; the name alone does not answer that question. Consider how guests will understand the fee and what it does not cover.

Whichever approach you choose, retain proportionate condition evidence, check reported damage promptly and communicate clearly. Neither option removes the need for maintenance, fair handling of disputes or appropriate property insurance. Compare administration, guest impact and uncovered exposure rather than choosing solely because one looks easier.

Which practical questions helped you understand your provider's arrangement? Please avoid guest payment details and claims that a waiver covers everything.
